We're Your Conference Headquarters

We coordinate conferences for as few as 20 and as many as 5,000 people, on the University of Wyoming campus as well as across Wyoming and throughout the Rocky Mountain region. We’ll help you with planning, marketing, logistics, and financial management, all while allowing you to greet and socialize with your group or organization. (List of current conferences)

Program Consultation
We will meet with you to discuss your specific conference and tailor our services to your needs.

Services Available:

  • Financial Management:
    We can prepare budgets, complete contractual agreements with presenters, make deposits, monitor program fees, and see that all bills are paid. We also provide status reports of registrations and fee income as requested, and provide a financial statement following the conference.
  • Marketing:
    We will design and prepare brochures and mail-in registration forms, label brochures for first class and bulk mailings, arrange for news releases, design posters and signs, and prepare agendas and program abstracts for publication, including cover design and editing.
  • Web Design and Maintenance:
    We can design and update Web pages.
  • Preregistration Services:
    Our service includes answering phone calls from participants, receiving and processing registrations, sending confirmations, and serving as the principal contact for questions and concerns.
  • Online Security:
    Registration is available online through secure Web pages.
  • Accommodations & Meeting Facilities:
    We will contract with motels/hotels and UW residence halls for room blocks, arrange for meeting rooms, and coordinate room setups. In addition, we will determine exhibitor requirements and handle setups and reservations.
  • Catering Options:
    We can assist you in planning and arranging for food service requirements which can include breaks, breakfasts, luncheons, receptions, banquets, and barbecues.
  • Audiovisual Equipment:
    We can arrange for AV equipment rental, delivery, and pickup. Our service may also include recording of sessions.
  • On-site Coordination:
    No matter where in the state or region you decide to hold your conference, we provide on-site registration services. This includes preparing participant lists, workshop assignments, nametags, meal tickets; assembling folders, notebooks, and other programs/handouts; arranging for parking; and walk-in registration.
  • Credit / Recertification:
    Our services include handling UW credit needs with the conference committee, process applications for Continuing Education Units (CEUs), for off-campus credit and for recertification credit, and certify attendance as needed.
  • Evaluations:
    We develop and distribute conference evaluations through new integrated software, which collects and compiles final statistics that reflect participants’ feedback.
  • Post Conference Wrap Up:
    We prepare and distribute financial summaries and meet with you to discuss program analysis/evaluations.
  • Tours & Special Events:
    We will arrange tours for participants/spouses, such as museum tours, tours of the local area, and special events such as concerts, dinner theater, picnics, rodeos, receptions, banquets, and vendor exhibits.
